This update covers two weeks of releases. Diagrams can now print and export across several pages, and the legend has become part of the export rather than a shape on the canvas. Every write now passes through one permission rule. The Xero Practice Manager push checks for archived clients and look-alikes before it writes anything, and shows its progress as it goes. Scenario distribution edits now stay in the scenario.
Highlights
- Print And Export Across Several Pages: Print, Export PDF and Print Settings now have a Pages option. You can fit the diagram to one page (still the default), spread it over a grid of up to 5 × 5 pages, or choose Auto, which uses the fewest pages that keep the main labels at a size you pick. Every page prints at the same scale, and neighbouring pages overlap by a 1 cm strip marked with a dashed line. Each footer says which page it is: "Page 2 of 4 (row 1, column 2)". Export as PDF now opens a small dialog of its own, and print and PDF keep separate saved defaults.
- Tidier Printed Pages: The border around a printed or exported diagram is capped at 5 mm. No header space is set aside when there is no logo or title to show. Link labels near the edge are no longer cut off. Print now uses the PDF's slimmer header and footer, and a PDF that has to drop below full resolution tells you which pages were affected.
- The Legend Belongs To The Export: The ownership legend is no longer a shape on the canvas. Both diagram types now add a key only to exports: PNG, PDF, print and filing into FYI. Whether to include it is saved with each diagram, through Include legend in the Share menu. It is off by default for ownership diagrams and on for family trees, and an ownership diagram that showed the old canvas legend keeps one in its exports. The Legend tick in the print and PDF dialog is now the same setting, so the two can no longer disagree. The key spreads across the page, keeps its text at 10pt or larger wherever the page allows, and grows towards 12pt only into space the diagram cannot use.
- Share Percentages Count Every Holding: A holder's percentage is now their shares divided by every holding of that class in the company, plus any untracked shares. Leaving a co-holder off a diagram therefore no longer inflates everyone else's figure. Holders you cannot see are added into the total without being named. Untracked shares recorded under two names for one class, such as "Ordinary" and "ORD", are counted in full, and a label no longer changes when the diagram is rebuilt.
- One Permission Rule For Every Write: Who may write a relationship, an entity, a group membership or a distribution is now decided in one place, as part of the write itself. To create, change or delete a link you need edit rights on at least one end and must be able to see both. An action is allowed if any one of an entity's groups grants it. Taking an entity out of a group needs edit rights in that group. Moving an entity between groups now happens as a single step, so a failed move leaves it where it was. Entities that are in no group are visible to every member and can be edited at the member's usual access level. A pull, reconciliation or import runs with the permissions of the person who started it, and a link they cannot write becomes a review item rather than a failed run.
- Buttons Match What You Can Do: Entity pages now offer Edit and Delete according to the entity's own groups, not the workspace chosen in the header. SMSF pages now check group permissions the way company and trust pages do. Partnership delete follows the same rule as deleting from the list or diagram. "Group Manager" is now Group Admin everywhere, and the help has a table of what each role can do.
- Xero Practice Manager Sync For Editors: Editors can now browse Xero Practice Manager, link and unlink, pull, and run the pull side of two-way sync (Limited Sync). Pushing and creating groups in Xero Practice Manager stay with Group Admins and Tenancy Admins, and those choices are marked "Needs a Group Admin". Every Xero Practice Manager page now shows exactly the actions you can take, so nothing is offered and then refused.
- A Check Before Every Push: Create in XPM and Push to XPM now run a read-only check before they write anything. It lists linked clients that Xero Practice Manager holds as archived or deleted, which will be re-created. It also lists unlinked entities with an active look-alike, matched on name and, for companies, on ACN or ABN, and you choose whether to link to it or create a new client. If the check finds nothing, the push goes straight through, and Cancel writes nothing. A client that Xero Practice Manager reports as not found is listed as one whose status it did not report, not as deleted. On the two-way sync page, an archived client can now be re-created the same way as a deleted one.
- Push Progress, And Recovery When A Push Stops: The push dialog now shows live progress: clients as "n of m" with the client's name, then the group, then relationships, with failures counted as they happen. A push that stopped part way no longer leaves the group page blocked. Relationships follow a re-created client instead of pointing at the deleted one, and its shareholdings are flagged for a two-way sync. The summary now reports what actually happened rather than what was planned. An export stops when Xero Practice Manager stops answering, rather than on one dropped connection, and the message names every reason an export was only partly done.
- Faster, Safer Pulls: A pull now reads group members four at a time, paced to stay within Xero's rate limit, and checks each group's permissions once rather than once per row. Each member is written as a single step, so a member that fails leaves nothing half-written.
- Scenario Distributions Stay In The Scenario: Editing a distribution inside a draft scenario now saves it to the scenario rather than to the live distribution. A distribution the scenario created can now be edited too. The diagram redraws as soon as you save. A distribution with an unreadable date or no amount is flagged on its link rather than quietly given the live value. Restoring a distribution in a later step shows what that step holds, including changes made in earlier steps.
- Only Valid Relationships Are Offered: Relationship forms, the canvas and the "Has" options now offer only the pairs that are valid for the two entities, and an invalid pair is refused with the rule's reason. A partner in a partnership needs an interest above 0%.
- Family Rules Hold Everywhere: The family rules now apply on every path that writes a family link, including scenario commits, so a person cannot be their own ancestor, have the same parent recorded twice, or marry an ancestor or descendant. The family-tree inspector lists people you have just added, explains why someone cannot be picked, and draws a linked person's spouse straight away. Linking a person happens as a single step, so a refused link leaves nothing behind.
- Records Kept Intact: Editing an SMSF no longer loses its addresses, its Xero Practice Manager link or its photo. A save from the diagram inspector no longer clears a stored TFN. Editing a trust no longer resets its status to passive, and company and SMSF edits that had been blocked by the same problem now save. Every date must now be a real calendar day, and a stored date you leave unchanged never blocks a save.
- Entity Pages: Pages load each list once instead of several times, and a save no longer sets off a run of repeated reads. A card whose rows are all outside the date you are viewing now says so, with a Show all dates button, rather than reading "No relationships yet". The entity action menu has tooltips.
- Diagram Fixes: Undo on a new diagram no longer switches Named Beneficiary groups off, and the history drop-down between Undo and Redo is gone. The Existing stencil greys out entities from outside the diagram's group that have no active link to it, explaining why, instead of offering a drop that fails. A fitted label never shrinks below 8px. The edit lock retries once, quietly, when a laptop wakes before its network does.
- ASIC Imports: Everyone with import access can now download ASIC extracts and see every ASIC import in Import History. An entry for a company you cannot open shows only the extract's own details. When two companies are merged, the member history from the newer extract is kept.
- Sign Up And Sign In: Sign-up, sign-in, password reset and the contact form are protected by a bot check that is usually invisible, and sign-ups from disposable email addresses are refused. A refusal is shown on the form, and what you typed is kept. A link in an email now waits for you to press a button, so mail scanners that open links first can no longer use them up. Signing in with Xero for the first time now sets up an organisation straight away, and connecting Xero Practice Manager names an organisation still called "Your Organisation" after the practice.
- FYI: The FYI integration is now simply called FYI throughout the app and the help.
- On The Website: A public roadmap page, FamilyGram pages in the 2026 design, new how-it-works graphics on the home page with See it in action videos, and wider page margins on both sites.
- Help: New help pages cover diagramming part of a group and how shareholding and unitholding labels and percentages are worked out. The pages on entity filters and diagram creation no longer describe filter templates that have since been retired.
