How to Manage Group Access and Permissions

This article explains how to control who can access a specific Group and at what permission level, so you can make sure the right people have the right access.

Access for a Group is managed from the Team button on the Group. Changes made here apply to that Group only.

There are three things you can do:

  • Turn member baseline access on or off
  • Add a member override for one internal member
  • Add a team override for all members of a Team

Before You Start

You need to be a Tenancy Admin to manage Group access. If Team is not visible on a Group, you do not have permission to manage access for that Group.

If you are not yet familiar with how access works in StructureGram, Understanding Access, Teams, and Sharing is a good place to start.

Turning Member Baseline Access On or Off

Member baseline access controls whether internal members can access this Group using their organisation-wide default access level.

  1. Go to Groups.
  2. Find the Group you want to manage.
  3. Click Team.
  4. Find Member baseline access.
  5. Toggle Group access on or off.

When Group access is on, internal members can access this Group according to their default access level set in Account Settings → Team → Members.

When the Group is Restricted, member defaults do not apply. Access must come from a Tenancy Admin role, a member override, a team override, or a guest share.

Adding a Member Override

A member override gives one internal member a specific access level on this Group, regardless of their default. Overrides are additive — they can upgrade someone's access, but cannot reduce it below their default or team access level.

  1. Go to Groups.
  2. Find the Group you want to manage.
  3. Click Team.
  4. Find Member Overrides.
  5. Select the member you want to override.
  6. Choose their access level — Group Viewer, Group Editor, or Group Manager.
  7. Click Add Override.

The member's access updates immediately.

Note: If a member does not appear as an option, they may already have that level of access or stronger through their default role or a team override.

Adding a Team Override

A team override gives every active member of a Team a specific access level on this Group.

  1. Go to Groups.
  2. Find the Group you want to manage.
  3. Click Team.
  4. Find Team Overrides.
  5. Select the Team you want to add.
  6. Choose their access level — Group Viewer, Group Editor, or Group Manager.
  7. Click Add Override.

All active members of that Team receive the selected access level for this Group immediately.

Tip: If a member still has access to a Restricted Group after you remove a member override, check whether they belong to a Team that still has a team override.
