Managing Saved Diagram Settings

Context and Why This Exists

Saved settings are shared with everyone in your organisation. Managing the list keeps names clear and removes options that are no longer useful without changing diagrams where those settings were previously applied.

Who Can Manage Saved Settings?

You can create, rename, and delete saved settings when you are:

  • Admin - Tenancy; or
  • Member - Group Admin.

Other organisation members can view and apply saved settings but do not see the management actions.

Open Manage Saved Settings

  1. Open a standard Ownership Diagram.
  2. Select Settings.
  3. Select the Saved settings button with the small two-slider icon.
  4. Select Manage.

The Manage saved settings window lists the options available across the organisation.

Rename a Saved Setting

  1. In Manage saved settings, select the pencil button beside the setting.
  2. Edit the name.
  3. Select the check-mark button to save the name.

You can also press Enter to save or Escape to cancel the edit.

Renaming changes the shared list only. Diagrams where the setting was applied keep their current Diagram Settings.

Delete a Saved Setting

  1. In Manage saved settings, select the red delete button beside the setting.
  2. Review the confirmation.
  3. Select Delete.

The setting is removed from the organisation's shared list.

Important: Deleting a saved setting cannot be undone from this window. It does not revert or change diagrams where the setting was previously applied.

Edge Cases and Expected Behavior

  • Names must contain between 1 and 80 characters.
  • Duplicate names are not allowed, even when capitalisation differs.
  • Renaming does not change the values stored in the saved setting.
  • There is no editing screen for changing the values inside an existing saved setting.
  • To replace a setting's values, save the current diagram under a new name. You can then delete the old setting and rename the new one if required.
  • If another manager deletes the setting while you have the window open, your rename or delete may report that the saved setting was not found.
  • Changes affect the current organisation only.

Troubleshooting (Q&A)

Manage is unavailable

Most likely causes:

  • No saved settings exist yet, so Manage is disabled.
  • Your permission level allows applying settings but not managing them, so Manage is hidden.

Create the first setting if you have permission, or ask an Admin - Tenancy or Member - Group Admin for help.

I cannot save the new name

Make sure the name is not empty and does not exceed 80 characters. If a setting with that name already exists, choose a unique name.

I deleted a setting but a diagram still looks the same

This is expected. Applying a saved setting copies its values into a diagram. Deleting the shared setting does not remove those copied values from existing diagrams.

To change the diagram, apply another saved setting or adjust its Diagram Settings manually.

Rename or delete failed

Check your connection and try again. If another manager changed the list at the same time, close Manage saved settings, reopen it, and retry using the refreshed list.

Best Practice

  • Agree on a short naming pattern for organisation-wide settings.
  • Name settings by intended result rather than by the person who created them.
  • Remove near-duplicates after confirming which setting should remain.
  • Tell other diagram users before removing a widely used setting from the shared list.
