Upgrading, Downgrading & Billing
Subscription and billing are managed in Account → Billing (the Organisation Billing page). Plans are sized by the number of client groups you need; every plan includes unlimited users. For the current plans and prices, see the Pricing page.
Who can manage billing
Billing is managed by tenancy admins. If you're not an admin, you'll see your current plan but the controls are hidden, with a note to contact your administrator. The Billing page itself is only available to admins.
Shortcut: if you're an admin on the free plan, an Upgrade Subscription button also appears in the top bar — it takes you straight to the plan picker.
Upgrading your plan
- Go to Account → Billing.
- On the Subscription card, click Upgrade Subscription (or Choose a plan / Resubscribe if you're on the free or an expired plan).
- Pick a plan and choose monthly or annual billing (annual is discounted).
- Complete payment through the secure Stripe checkout.
Upgrades take effect immediately, and if you're already on a paid plan you're only charged the prorated difference for the rest of your current billing period.
Downgrading your plan
How you downgrade depends on where you're going:
- To a lower paid plan (for example, 250 Groups → 50 Groups): on the Subscription card, click Manage Subscription to open the billing portal, then change your plan there. Downgrades take effect at your next renewal — you keep your current plan's features until then.
- To the free plan: use Cancel (see below). At the end of your billing period you return to the free 1 Group plan.
A note on group limits: if you downgrade to a plan with fewer groups than you currently use, your existing data is preserved, but you won't be able to create new groups beyond the new plan's limit until you're back within it. The Subscription card shows your group usage against your limit and warns you as you approach it.
Cancelling and resuming
To cancel, open Account → Billing and click Cancel on the Subscription card. After confirming:
- Your current plan stays active until the end of your billing period.
- After that, you're moved to the free 1 Group plan.
- Your data is preserved — you just can't create new items beyond the free plan's limits.
Changed your mind? Before the cancellation takes effect, click Resume Subscription to keep your plan running and renewing as normal.
Payment method and invoices
Click Manage Subscription on the Subscription card to open the billing portal, where you can update your payment method, view and download invoices, and change your plan.
Storing a card for live ASIC extracts (Purchase Billing)
If you use ASIC Direct Feed to order live ASIC company extracts from inside StructureGram, you need a saved card on file to pay for them. This is separate from your subscription and is managed in the Purchase Billing card on the Account → Billing page (you can also complete it from Account → Integrations).
As an admin you can:
- Add or change card — save a credit card via Stripe without leaving the app. (Your existing card stays active until the new one is saved.) You can also choose to reuse your subscription payment method.
- Disable billing — block new in-app purchases without deleting the card.
- Re-enable billing — turn purchases back on.
- Delete card — remove the saved card.
The card shows its brand, last four digits, expiry, billing email, and whether purchase billing is currently enabled or disabled. While purchase billing is disabled or no card is saved, new ASIC Direct Feed orders are blocked — the ASIC Direct Feed option in the Import Hub will show Billing Required until a card is in place.
Non-admins can't change these settings — contact your administrator to set up or update the saved card.
