Understanding Organisations
Organisations are the foundation of how you work in StructureGram. Every entity, relationship, and diagram you create belongs to an organisation. This guide explains what organisations are, why they're required, and how to use them effectively.
What is an Organisation?
An organisation is a secure workspace where you create and manage your entities, relationships, and diagrams. Think of it as a container that keeps your data isolated and enables you to collaborate with your team.

- Data Isolation: Each organisation's data is completely separate from other organisations
- Team Collaboration: Invite colleagues to work together on structures within your organisation
- Role-Based Access: Control who can manage team members and organisation settings
- Multiple Memberships: You can be a member of multiple organisations simultaneously
Why Organisations are Required
StructureGram requires you to belong to at least one organisation before you can use the app. This ensures:
- Security: Your data is properly isolated and protected
- Collaboration: You have a framework for safely sharing data with colleagues
- Organisation: All your work is organized in a logical, scalable way
You cannot use StructureGram without being attached to an organisation. When you first sign up, you'll be prompted to either create your own organisation or accept an invitation to join an existing one.
Two Ways to Get Started
Option 1: Create Your Own Organisation
When you first sign in, you can create a new organisation:
- Enter a name for your organisation (e.g., "Acme Advisory" or "ABC Accounting")
- Click "Create organisation"
- You'll automatically become the administrator of this organisation
- You can immediately start creating entities and inviting team members
Best for: Solo practitioners or firms setting up StructureGram for the first time.
Option 2: Accept an Invitation
If a colleague has already set up an organisation, they can invite you:
- You'll receive an invitation email with a secure link
- Click the link and sign in (or create an account)
- Accept the invitation to join their organisation
- You'll have immediate access to the organisation's data (based on your assigned role)
Best for: Joining an existing team or firm that's already using StructureGram.
Organisation Roles
There are two roles in every organisation:
Admin
- Full control over the organisation
- Can invite and remove team members
- Can change other members' roles
- Can rename or delete the organisation
- Can manage organisation settings (e.g., upload logos)
- Has access to all entities, relationships, and diagrams
User
- Can view, create, and edit entities, relationships, and diagrams
- Can create and manage entity filters
- Cannot invite or remove team members
- Cannot change organisation settings
- Cannot delete the organisation
Note: Every organisation must have at least one admin. If you're the last admin, you must promote another member to admin before you can leave or change your role.
Multiple Organisations
You can be a member of multiple organisations simultaneously. This is useful for:
- Separating client work: Create different organisations for different clients
- Personal vs. professional: Have one organisation for your firm and another for personal projects
- Multi-firm collaboration: If you work with multiple firms, you can be a member of each
Switching Between Organisations
When you belong to multiple organisations:
- Use the organisation switcher in the top navigation
- Select the organisation you want to work in
- All entities, relationships, and diagrams will be from the selected organisation
- Your active organisation persists across sessions
Important: Entities and relationships are never shared between organisations. Each organisation's data is completely isolated.
Organisation Settings
Administrators can manage organisation-level settings:
- Organisation Name: Update the name that appears throughout the app
- Logo Upload: Upload a logo to appear on exported diagrams (PNG or SVG, max 2MB)
- Team Management: View members, change roles, and remove members
- Invitations: Send and manage pending invitations
Access these settings from Account > Organisation Settings in the main navigation.
Common Questions
Can I transfer data between organisations?
No. Data is isolated per organisation for security and privacy. If you need to recreate a structure in a different organisation, you'll need to manually create the entities and relationships again.
Can I rename my organisation?
Yes. Admins can rename the organisation at any time from Organisation Settings.
What happens if I delete my organisation?
Deleting an organisation permanently deletes all associated data, including:
- All entities (individuals, companies, trusts)
- All relationships
- All diagrams and saved layouts
- All entity filters
- All team memberships
This action cannot be undone. Only admins can delete an organisation.

Can I leave an organisation?
Yes, but with restrictions:
- If you're the last admin, you must either promote another member to admin or delete the organisation first
- If you're a user or there are other admins, you can leave at any time
- Leaving an organisation removes your access to all its data
How many organisations can I create?
There's no limit. You can create as many organisations as you need for your work.
Who can see my data?
Only members of your organisation can see your entities, relationships, and diagrams. Data is never shared between organisations or visible to users outside your organisation.
