Working with Multiple Organisations
StructureGram allows you to belong to multiple organisations simultaneously. This guide explains how to switch between organisations, understand which organisation you're working in, and manage multiple workspaces effectively.
Understanding Multiple Organisations
When you belong to multiple organisations, you can:
- Switch between them at any time
- Maintain separate data in each organisation
- Have different roles in different organisations (e.g., Admin in one, User in another)
- Work independently in each workspace
Important: Data is completely isolated between organisations. Entities and relationships are never shared across organisations.
Common Scenarios
Scenario 1: Personal and Professional
Create separate organisations for:
- Your firm's work: Shared with colleagues and team members
- Personal projects: Private structures for your own use
Scenario 2: Multiple Clients
If you work with different clients or firms:
- Client A Organisation: All work for Client A
- Client B Organisation: All work for Client B
- Keep client data completely separate and secure
Scenario 3: Multi-Firm Collaboration
If you work across multiple firms:
- Firm A: Your primary employer
- Firm B: A partner firm you collaborate with
- Freelance: Your own consulting practice
Scenario 4: Divisions or Departments
For large organizations:
- Corporate Division: Corporate restructuring work
- Estate Planning Division: Estate and succession structures
- Litigation Support: Family law matters
The Active Organisation
What is the Active Organisation?
Your active organisation is the workspace you're currently viewing. All entities, relationships, diagrams, and entity filters you see belong to the active organisation.
How to Identify Your Active Organisation
The active organisation is displayed in:
- Top navigation bar: Organisation name shown prominently
- Organisation switcher: Current organisation is highlighted
- Page title: Often includes the organisation context
Active Organisation Persistence
Your active organisation choice is remembered:
- Persists across browser sessions
- Remains active when you log out and log back in
- Stays selected until you manually switch to a different organisation
Switching Between Organisations
Using the Organisation Switcher
To switch to a different organisation:
- Click the organisation name or switcher icon in the top navigation
- You'll see a list of all organisations you belong to
- Each organisation shows:
- Organisation name
- Your role (Admin or User)
- Number of members
- Click on the organisation you want to switch to
- The page refreshes and loads data from the selected organisation
After Switching
When you switch organisations:
- All entities and relationships update to show the new organisation's data
- Filter groups change to those in the new organisation
- Diagrams reflect the new organisation's structures
- Your role may be different (check the organisation switcher)
First-Time Selection
If you belong to multiple organisations and have just logged in:
- You may see an organisation selection page
- Choose which organisation to start working in
- Your choice becomes your active organisation
Organisation Selection Page
When You See This Page
The organisation selection page appears when:
- You've just created an account and accepted multiple invitations
- You've just logged in and have multiple organisations but no active one set
- You've been invited to a new organisation and want to switch to it
How to Use It
- View all your organisations: See all organisations you're a member of
- Check your roles: See whether you're an Admin or User in each
- See member counts: Understand the size of each organisation
- Select one: Click on an organisation to make it active
- Start working: You'll be redirected to the main app
Managing Multiple Organisations
Creating Additional Organisations
You can create as many organisations as you need:
- Navigate to Account > Organisation Settings
- Scroll to Create New Organisation section
- Enter a name for the new organisation
- Click Create
- You'll automatically become the admin of the new organisation
Accepting Invitations to Other Organisations
When someone invites you to their organisation:
- You'll receive an invitation email
- Click the invitation link
- Review the invitation details (organisation name, role, who invited you)
- Click Accept Invitation
- The new organisation is added to your list
- You can switch to it using the organisation switcher
Leaving an Organisation
If you no longer need access to an organisation:
- Switch to that organisation (make it active)
- Go to Account > Organisation Settings
- Scroll to Danger Zone
- Click Leave Organisation
- Confirm your decision
Note: If you're the last admin, you cannot leave until you promote another member to admin or delete the organisation.
Data Isolation and Security
Complete Separation
Each organisation's data is completely isolated:
- Entities: Cannot be seen across organisations
- Relationships: Exist only within their organisation
- Diagrams: Specific to each organisation
- Entity Filters: Unique to each organisation
- Layouts: Saved separately per organisation
No Data Sharing
You cannot:
- Copy entities from one organisation to another
- Share relationships between organisations
- Export data from one organisation and import into another (currently)
- Merge organisations together
Privacy and Security
- Members only: Only members of an organisation can see its data
- Role-based access: Your permissions depend on your role in each organisation
- Audit trail: Actions are tracked per organisation
- Secure switching: Switching organisations requires authentication
Best Practices
Naming Organisations
Use clear, descriptive names:
- ✅ Good: "Acme Advisory Pty Ltd", "Smith Family Estate Planning", "ABC Accounting - Corporate"
- ❌ Avoid: "My Org", "Test", "Organisation 1"
Organizing Your Work
For consultants/advisors working with multiple clients:
- Create a separate organisation for each major client
- Use your "home" organisation for templates and test structures
- Name organisations after clients for easy identification
For firms with teams:
- One main organisation for the whole firm
- Additional organisations for different practice areas if needed
- Use entity filters within an organisation to separate client work
For personal use:
- One organisation for your professional work
- One organisation for personal projects or family structures
- Keep them clearly named to avoid confusion
Switching Efficiently
- Use keyboard shortcuts (if available) to switch quickly
- Check the organisation name before starting work to avoid editing the wrong structures
- Review your role when switching - you might be an admin in one and a user in another
Avoiding Mistakes
Before creating or editing:
- Check which organisation is active - look at the top navigation
- Verify you're in the right workspace - especially important for similar work across organisations
- Double-check before deleting - deletions are permanent and cannot be undone
Troubleshooting
Can't find an entity I created
Possible causes:
- You created it in a different organisation
- Switch to all your organisations and search for it
- Check the organisation switcher to see where you last worked
Wrong organisation is selected
To fix:
- Use the organisation switcher to change to the correct organisation
- Your active organisation persists, so select the right one
Invited to an organisation but can't see it
Steps to resolve:
- Log out and log back in
- Check the organisation selection page
- Contact the person who invited you to confirm the invitation was sent
- Check your email for the invitation link and accept it again
Data disappeared after switching
This is normal:
- Each organisation has separate data
- Switch back to the previous organisation to see that data again
- Data is not deleted, just filtered by organisation
Can't switch organisations
Possible causes:
- Only belong to one organisation (nothing to switch to)
- Network or authentication issue - try refreshing the page
- Browser issue - clear cache and try again
Common Questions
How many organisations can I belong to?
There's no limit. You can belong to as many organisations as you're invited to or create yourself.
Does switching organisations log me out?
No. Switching organisations is instant and doesn't require logging in again. Your authentication session remains active.
Can I be in multiple organisations at the same time?
You can only view one organisation at a time (your "active" organisation). However, you can switch between them instantly.
Will my settings carry across organisations?
Some settings are global (personal account settings), while others are organisation-specific (diagram preferences, entity filters). User settings respect the active organisation context.
Can I transfer data between organisations?
Not currently. Data is isolated per organisation for security. If you need the same structure in multiple organisations, you'll need to manually recreate it.
What happens if I delete an organisation I was invited to?
If an admin deletes an organisation you're a member of:
- You'll lose access to that organisation and all its data
- It will be removed from your organisation switcher
- Your other organisations are unaffected
Can I rename an organisation?
Yes, if you're an admin. Go to Account > Organisation Settings and update the organisation name. This change affects all members.
What role do I have in each organisation?
Check the organisation switcher - it displays your role (Admin or User) next to each organisation name.
